About the role
Fleet Management Staff, under the Sales and Operations Department, reporting to the Sales and Operations Head . The role oversees and optimizes the operations of the company's vehicle fleet — ensuring efficient use of resources, minimizing costs, and enhancing overall fleet performance. Works internally with all Head Office departments and externally with branch employees.
Responsibilities
Fleet strategy & planning
- Develop, recommend, and implement strategic plans to optimize fleet operations, aligned with operational and branch needs
- Analyze current and future fleet requirements for proper vehicle allocation; assess manpower and mobility demands per branch
Vehicle acquisition & management
- Research, evaluate, and recommend vehicle acquisitions based on cost efficiency, performance, and operational suitability
Maintenance & fleet reliability
- Coordinate with service providers and branch personnel for timely maintenance and repair
- Enforce preventive-maintenance schedules to ensure reliability, safety, and reduced downtime; monitor timelines to prevent breakdowns
- Monitor and analyze maintenance costs for cost-saving opportunities
Compliance & regulatory management
- Ensure compliance with regulations (inspections, emissions/smoke testing) and timely submission of reports and documentation
- Oversee vehicle inspection and regulatory requirements to ensure roadworthiness
Fuel management & operational efficiency
- Implement strategies to improve fuel efficiency and reduce fuel costs
- Monitor proper vehicle usage across branches, flag misuse or unauthorized use, and report irregularities
- Track and analyze fuel-consumption trends to find inefficiencies
Systems, compliance tracking & data management
- Recommend/support systems for vehicle tracking, scheduling, routing, and reporting
- Implement compliance tracking and real-time fleet data management via Google Sheets
- Maintain updated records for vehicle status, maintenance, fuel usage, and compliance
Cost control & performance monitoring
- Implement cost-saving initiatives within budget
- Generate and analyze fleet KPIs (utilization rate, maintenance cost, downtime) to support decisions
Coordination, emergency & other
- Maintain regular communication with the supervisor and management on fleet performance, issues, and updates
- Develop and implement emergency-response/contingency plans for accidents or breakdowns; ensure quick-response protocols
- Perform other duties as assigned
Requirements
- Education: At least a Bachelor's/College Degree in Business Administration, Management, Engineering, Logistics, or a related field
- Experience: At least 2–3 years in fleet management, transport operations, logistics, or a related field
Skills
Knowledge of vehicle operations - Maintenance and Compliance
A driver's license (non-professional or professional) is an advantage
